Photography Policy

DIG has photography at some of its events. When you attend a DIG event with photography (*except if you make a no-photo request at any time as outlined below) you consent to us using those images as laid out in our Photography Release.

We understand that not all of our members wish to have their photo taken at our events, and we know that, for some members of our community, photography can pose a safety risk. We take these concerns seriously and work to make members comfortable and welcome to participate whatever their photography preferences, while appropriately documenting our events.

Below are our guidelines and policies for photography at DIG:

Use of Photos

The photos we take are used for a variety of marketing purposes including (but not limited to):

  • Promoting future events

  • Social media posts

  • Images on our website

  • Print and online resources for our community

The photos we take are used by the following people:

  • Diversity in Games

  • Our Organizer Group Members

  • Our Featured Speakers

  • Our Sponsors

  • Our Photographer

  • Other groups we co-host events with

  • Our presenters / panelists / other speakers

Events with Photos & Avoiding Photography

Many of our events feature photography. We understand that not all of our members wish to have their photo taken at our events, and we know that, for some members of our community, photography can pose a safety risk. We take these concerns seriously and work to make members comfortable while appropriately documenting our events.

Here is our approach:

Most of our events with photography can accommodate reasonable no-photo requests.

How to Request No Photography

  • At in-person events you can speak to our photographer when you arrive. Introduce yourself and let them know that you’d like to not appear in photos for the night. Organizers and event volunteers are happy to assist you in making this contact with the photographer.

  • Discuss the best approach with the photographer that works for you both. This may include selecting seating that can be framed out of group shots, or other arrangements to ensure your enjoyment of the event is not impacted while still allowing photographs to be taken.

  • At online events where attendees are visible on screen, we will provide advance warning of our intention to take a photograph/screen shot/video or participants to allow you time to momentarily disable your camera.

Please note that we do occasionally host events where, because of the event type or set-up, accommodating no-photography requests is impossible (eg: very large mix-and-mingle networking events).

If Your Photography Preferences Change...

If you’ve previously consented to having your photo taken at a DIG event, and your needs change, please let us know so that we can take action.

To get your photo removed, please follow this process:

  • Contact us via email on our contact page.

  • Be specific with the request description: let us know which image(s) you’d like removed.

  • Once we have all the details we need, we’ll make sure we take down the photo and stop using it going forward.

  • Please note that we’ll do our best to act on requests quickly, but in some cases it may take time to remove/replace photographs (depending on their use).

Our policy is to not take photos of any children attending our events.
